Only online submission via the Internet. is acceptable. Each presenter can submit only one oral or poster presentation. You may check and modify your abstract as many times as you wish during the abstract submission period.

Please note that new submissions and modifications will not be possible after the abstract submission deadline.

Presenter

  • The first presenter must be a member of the Japan Epidemiological Association (JEA) except for invited sessions.
  • Membership number is required to submit an abstract as the first presenter. If you are not a member of the JEA, please complete the membership application to the JFA. Please contact the Secretariat of the JEA for membership information.
  • If you have not paid the annual membership fee up to 2024, please make sure to pay it by Monday, September 30, 2024.

REGISTRATION NOTIFICATION

  • All abstracts must be registered online via this website.
    Please proceed from the “Abstract submission Form” at the bottom of the page.
    For a new submission, please proceed from " New Submission " and for confirmation or revision, please proceed from " Confirmation or Revision ".
  • When submitting a new abstract, please set a password of your choice.
  • To revise an abstract that has been submitted, you will need the abstract registration number issued at the time of new submission and the password you have set.
  • You can revise and confirm your registered abstract as many times as you wish before the deadline.
  • Registrants must manage their issued presentation registration number and password.
  • After completing your abstract submission, an automatic reply email will be sent.
    If you do not receive an e-mail, please contact the Secretariat at the bottom of the page.

After the deadline, you will not be able to register or revise your abstract.

If the email address you registered with is a free email address (Yahoo, gmail, hotmail), etc., the email may be sorted into your spam folder. If you do not receive the email, please check your spam folder.

Just before the deadline, there will be a high volume of access to the website, so it is expected that it will take some time to submit your abstract. Please submit your abstract in plenty of time.

  • Only on-site presentations will be offered.
  • There are two types of General Session presentation:
    1. Oral
    2. Poster
  • Please note that the final decision about presentation type will be made by the president.

  • Please select your presentation language (Japanese or English) at the time of abstract submission.
  • Please use the same language for the abstract and presentation.
  • If you choose English, your presentation will be given in the English session.

ABSTRACT FORMAT

  • Please be sure to use the abstract template below when preparing your abstract.
  • Please enter the required information in Abstract Submission Page (The 35th Jea) when submitting your abstract and upload the abstract template that you create.
  • Tables and figures cannot be inserted into the body of the abstract.
  • A maximum of 20 presenters and 20 affiliated institutions can be registered.
  • If you wish to revise the title, presenter/co-presenter name or affiliation in the abstract submission page, please also revise the corresponding information in the attached abstract template.
    If the titles of the two materials are different, the title of the attached abstract template will be published in the abstract book.

ETHICAL REVIEW CONFIRMATION

When registering an abstract for presentation at the Annual Meeting, you need to clarify that the abstract has been approved for ethical review per the "Ethical Guidelines for Life Sciences and Medical Research Involving Human Subjects" and/or other guidelines. When the abstract is not required for ethical review, you can indicate that in the Abstract Submission Page.

  • Please note that if your research requires ethical review and has not been approved, you will not be able to register your abstract.
  • We recommend that you prepare the information of Ethics review committee name, Approval date, and Approval No at hand before starting abstract submission, if your research requires ethical review.
  • You should confirm whether or not an ethics review is required. If necessary, please make inquiries to the ethics review committee of your institution.
  • The JEA does not make decisions about ethical review requirement on behalf of the researcher or the ethics review committee.

CONFLICT OF INTEREST (COI)

  • The first presenter, on behalf of all co-presenters, is required to declare his/her financial relationship with "companies or commercial organizations related to the presentation" for the past three years from the time of registration of the abstract.
  • Please be sure to read the "Policy and Bylaws for Conflict of Interest in Epidemiological Researchopen_in_new", and use the "COI disclosure form"
  • The first presenter is required to submit the COI disclosure form, but co-presenters are not required if there is no COI to be disclosed.
  • If co-presenters have COI, please combine the COI disclosure forms of the first presenter and all co-presenters into a single PDF file.
  • We recommend that you prepare the PDF file of COI disclosure forms before starting abstract submission.
  • Please upload and submit the COI disclosure form at the time of abstract submission.
  • Please refer to the "Example of declaration in slides" (JEA Format 1) and describe the COI status on your slides or posters at the time of presentation.
  • Even if there is no conflict of interest, please be sure to state that there is no conflict of interest when making a presentation at the conference.

Regarding acceptance or rejection of the abstract

The presentation type and presentation time of abstracts that have been reviewed and accepted will be posted on the website.
The Liaison Office will not contact the first presenter individually.
