Notice to Chairs & Speakers
ORAL PRESENTATION GUIDELINES
Oral presentations are always accompanied by a PowerPoint presentation. The speakers are entirely responsible for the presentation content (order, graphics, etc.).
Every speaker verifies himself/herself that the time of his/her session has not changed.
Your Presentation
All presentations and questions must be delivered in English.
Time reserved for your presentation is:
• Educational Sessions: 25~40mins presentation, depends on the speaker +5 minutes discussion.
• Scientific meetings: 7 minutes presentation + 3 minutes discussion.
Presentation Formatting
Please make sure your presentation is in a compatible format. Please prepare your presentation preferably using PowerPoint version 2010,2013,2016,2019. Please avoid using KeyNote.
The on-site computers will handle PowerPoint of Windows version.
Supported file types:
• Presentation: PPT, PPA, PPTA, PPTX, PDF
• Audio: WMA, MP3, WAV
• Pictures: JPG, GIF, BMP, TIF
The format of the screens to be used is 4:3 (1024x768).
Depositing your File
Your presentation must be handed over to personnel on a USB stick in the SPEAKERS’ PREVIEW CENTRE as far in advance as possible and AT THE LATEST two hours BEFORE the beginning of each of your dedicated sessions, except for early morning sessions.
Pc technical staffs will be available to help you with uploading your presentation into the onsite presentation system and with any modifications needed.
All presentations will be automatically transferred from the SPEAKERS’ PREVIEW CENTRE into the hall accordingly.
The SPEAKERS' PREVIEW CENTER will be located on the second floor near the Hall and will be available in the following times:
December 6: 7:30~
December 7: 7:30~
In the Hall
Once you arrive into the hall your presentation will already be uploaded on the presentation screen. You will be assisted by a hall assistant who will show you how to operate your presentation, remote control, etc.
When the presenter ahead of you is on the stage, please be ready to take your turn. You are asked to be seated at the next speaker's seat provided at the left front row of the hall at least 15 minutes before your presentation.
There will be a signaling system in the hall. A yellow illuminating lamp will indicate when one minute is remaining and a red lamp will illuminate at the end of your presentation.
Please, do NOT come with your own computer at the last minute. You will NOT BE ABLE to connect it. All presentations must be uploaded beforehand in The SPEAKERS' PREVIEW CENTER.
POSTER PRESENTATION GUIDELINES
Please read and respect the following guidelines when preparing your poster.
Poster Dimensions
The maximum printed poster dimensions allowed are W90 cm x H150 cm (portrait orientation).
To best fit the poster board, your poster should not exceed the recommended size. The conference organizers will provide suitable fixing materials and on-site assistant will be available to help you display your poster.
Unauthorized presentations will be deleted, or permissions can be updated by authors.
Poster Sessions
Poster authors / presenters are expected to be present with the presenter’s ribbon on their chest. Presenters should be standing by their posters during the poster session to present their work and answer any questions from the audience:
The Poster session is scheduled on Saturday, Dec. 7, 2019, 17:00 – 17:30.
Mounting your Poster
The poster area will be located within Room “SAN”, 2F of the venue which is the same place with the Oral session. All posters should be set up at the following hours and dates:
- 07:30 – 08:00 on Dec. 6 and 7
- Coffee Break Hours on Dec. 6 and 7
Posters will be displayed on 2-sided poster boards; each poster will be given a specific number. Please make sure that you mount your poster on the poster board with the number corresponding to the number assigned to your poster (e. g. P 001). The final poster numbers is up on the conference web site.
Removing your Poster
Please remove your poster right after the poster session is finished on Saturday, Dec 7, 2019.
The conference organizers cannot accept responsibility for any material left behind. The organizers are not responsible for any loss or damage to any posters. Posters left behind after this time will automatically be destroyed.
