Abstract Submission Guidelines

General Information & Deadlines

1.

Abstracts MUST be submitted via the online abstract submission form until the given deadline, Sunday 18th August 2019,Midnight JST.

2.

Abstracts received via fax, e-mail or received after the deadline will not be accepted and therefore will not be considered for the publication. Applications are made on a first- come, first-served basis.


3. Abstracts can be submitted for the following categories and scientific topics:

Physics: (10 Topics)

  • Beam Delivery and Nozzle Design
  • Commissioning New Facilities
  • Absolute and Relative Dosimetry
  • Quality Assurance & Verification
  • Treatment Planning
  • Dose Calculation and Optimisation
  • Image Guidance
  • Monitoring and Modelling Motion
  • 4D Treatment and Delivery
  • Adaptive Therapy

Biology: (6 Topics)

  • Biological Differences between Carbon, Proton, and Photons
  • Drug and Immunotherapy Combinations
  • Enhanced Biology in Treatment Planning
  • Mathematical Modeling Simulation
  • Translational and Biomarkers
  • BNCT

 

General: (3 Topics)

  • Startup Facility
  • Cost Issue
  • Case report(knack and pitfalls)

4. A preferred presentation method should be selected during the submission from the following options:
 
  • Oral Presentation
  • Poster Presentation

5. Abstracts can be amended in the online submission system until the submission deadline, Sunday 18th August 2019,Midnight JST.

6. All abstracts will be reviewed by the PTCOG-AO1 Local Organizing Committee, who will consider its formal aspects and the content. They will decide which abstracts will be accepted and may reconsider the final presentation type.

7. Accepted abstracts will be published in the 1st Annual PTCOG-AO2019 Abstract Book. Abstracts not suitable for display will be rejected. Please have your abstracts checked for correct spelling, punctuation, grammar, and formal structure. The organizer reserves the right to edit abstracts if necessary, prior to the publication of the Abstract Book.

8. All presenting authors will receive an acceptance/rejection notification via e-mail by Monday 16th September 2019.

9. All presenting authors are obliged to register by Monday 30th September 2019.


Abstract Formatting

1. All abstracts must be written in English.

2. When submitting your abstract, consider and choose the appropriate category, scientific topic and the presentation method.

3. The abstract title is limited by 20 words and must be submitted using the sentence case (eg. This is the title of my abstract).

4. Up to 10 authors can be submitted for one abstract (including the presenting author).

5. The presenting author must be on the list and other authors can be added only when the presenting author is submitted. The first name is considered to be the first author.

 

6. The maximum abstract length is 250 words.

 

7. Up to 2 pictures/charts/tables can be included along with your abstract. Images must be entered in JPEG (jpg, jpeg) format, and may be no greater than 400px in width.


8. The number of submitted abstracts per one submitter/author is not limited.
